How to create an invoice for Canada
- Check the region and currency. The editor opens with Canada defaults: CAD, GST/HST presets and the right date and number format. Change the currency in the settings if you bill in another one.
- Add your business details. Enter your name, address and GST/HST no. (BN) and qst / pst no.. Upload a logo if you have one. Save it as a business profile so you can reuse it next time.
- Add the client. Fill in the customer’s name and address and their client gst/hst no. where it applies. Saved clients are stored in your browser for next time.
- Add line items and tax. Describe each item, enter quantity and rate, and choose a GST/HST preset or set your own rate. The totals update as you type, and you can switch between tax-exclusive and tax-inclusive prices.
- Check the checklist and terms. Open the compliance checklist to see which required fields are still empty, then choose payment terms, add bank details and notes.
- Pick a template and colour, then export. Choose one of the 15 templates and colour themes, then download the PDF, use Print / Save as PDF, or export a PNG. Everything is created in your browser.
How invoicing works in Canada
Canada’s sales-tax system is a patchwork, and that is what makes a Canadian invoice different from a generic one. There is a 5% federal Goods and Services Tax (GST) that applies in every province and territory. In some provinces it is combined with the provincial tax into a single Harmonized Sales Tax (HST). In others the province charges its own tax, called PST or RST, or in Quebec the QST, alongside the 5% GST. Which taxes you charge depends mainly on where the customer is, not on where you are, and the Canada Revenue Agency (CRA) publishes a calculator and rate table to work it out.
The generator has a province drop-down. Pick Ontario and it sets 13% HST. Pick British Columbia and it sets 5% GST plus 7% PST as two separate tax lines. Pick Quebec and you get 5% GST plus 9.975% QST. If you only supply in one province, set it once and it is remembered for next time.
Invoices default to ISO dates (2026-10-28), Letter paper and Canadian dollars, and you can change any of those. Quebec businesses may need French-language content on invoices, so check with Revenu Québec or the Office québécois de la langue française.
GST, HST, PST and QST rates by province
The table shows the rates in the editor, based on the CRA’s rate table for supplies made on or after 1 April 2025 (Nova Scotia’s HST fell from 15% to 14% at that date). Rates change, so confirm on the CRA calculator linked in the sources box before you rely on them.
| Province / territory | Taxes | Combined |
|---|---|---|
| Alberta, Northwest Territories, Nunavut, Yukon | GST 5% | 5% |
| British Columbia | GST 5% + PST 7% | 12% |
| Manitoba | GST 5% + RST 7% | 12% |
| Saskatchewan | GST 5% + PST 6% | 11% |
| Ontario | HST 13% | 13% |
| Quebec | GST 5% + QST 9.975% | 14.975% |
| New Brunswick, Newfoundland and Labrador, Prince Edward Island | HST 15% | 15% |
| Nova Scotia | HST 14% | 14% |
Two practical notes. When HST applies, show the single total HST rate on the invoice rather than splitting it into federal and provincial parts, which is what the CRA advises. And PST, RST and QST are administered by the provinces, not the CRA, so their registration and the items they cover vary: many professional services are not subject to PST in BC, for example, but some goods and software are. Check with the province.
To add or remove tax from a single amount, use the GST and HST calculator, which has all the provincial presets.
What to put on a Canadian invoice
Canada has no single “invoice law”. What the CRA does set out is the information a registrant’s invoice must contain so the buyer can claim an input tax credit (ITC), in the Input Tax Credit Information (GST/HST) Regulations. It increases with the size of the invoice:
| Invoice total | Information needed for an ITC claim |
|---|---|
| Under $100 | Supplier name or trade name, invoice date, total amount paid |
| $100 to $499.99 | The above, plus the supplier’s GST/HST registration number and the tax amount or rate |
| $500 or more | The above, plus the recipient’s name (or agent), the terms of payment, and a description of the goods or services |
The editor’s checklist reflects this, and the amount thresholds switch on as your invoice total grows:
- Supplier name and invoice date
- Your GST/HST registration number (invoices of $100 or more)
- GST/HST rate and amount (or a statement that tax is included)
- Description of what was supplied
- Recipient name and terms of payment (invoices of $500 or more)
In practice, almost every business invoice should include all of it, regardless of the amount. A buyer who cannot claim the credit because your invoice is thin will come back to you.
Do you have to register and charge GST/HST?
You are a “small supplier” and do not have to register for GST/HST if your total taxable revenue, before expenses, was $30,000 or less over four consecutive calendar quarters, and in any single calendar quarter. Once you go over, you must register and begin charging tax. If you are under the limit you can still register voluntarily, which lets you claim credits on business purchases. The CRA’s “when to register” page covers special cases, such as taxi drivers and non-resident sellers.
After registration you receive a Business Number with an RT account suffix, for example 123456789 RT0001. That is what you enter in the GST/HST no. field. Your invoice should show it whenever the amount reaches the $100 level above. Quebec sellers also receive a QST number from Revenu Québec, and some provinces issue PST numbers; use the second field for those.
Worked examples: Ontario and British Columbia
An Ontario example: Chloe is a freelance writer based in Toronto, GST/HST-registered. She bills an Ontario client $2,400 for a series of articles.
| Line | Amount |
|---|---|
| Article series (8 × $300) | $2,400.00 |
| HST (13%) | $312.00 |
| Total | $2,712.00 |
Now the same work for a client in Vancouver. The federal GST applies at 5%. Whether BC PST applies to writing services depends on BC’s rules, which typically do not tax professional services of this kind, so the invoice shows only GST:
| Line | Amount |
|---|---|
| Article series | $2,400.00 |
| GST (5%) | $120.00 |
| Total | $2,520.00 |
The point of the comparison is that the place of supply changes the tax, not the work. If you are unsure how the CRA treats the place of supply for your services, read the CRA’s guidance before sending the invoice.
Common mistakes on Canadian invoices
- Splitting HST into GST and a provincial part. Show one HST line at the total rate.
- Charging the wrong province’s rate. Use the customer’s province for most supplies of services and goods delivered in Canada, subject to CRA rules.
- Omitting the registration number. Buyers need it for ITCs on invoices of $100 or more.
- Charging GST while under the small-supplier limit and not registered. You cannot collect tax you are not registered for.
- Forgetting Quebec rules. Quebec has separate registration and language expectations.
- Not stating payment terms on invoices of $500 or more.
Getting paid faster in Canada
- Add an Interac e-Transfer email. It is the easiest option for most Canadian clients and usually arrives within minutes.
- Invoice at milestone completion, and for large projects ask for a deposit; see the milestone billing guide.
- State exact due dates and a late-payment policy that you have agreed to in advance.
- Send invoices in the client’s language when appropriate. In Quebec that often means French.
The CRA generally expects you to keep books and records for six years from the end of the tax year they relate to. See also our retention guide. Details for GST/HST are in our Canadian invoice requirements guide.

Frequently asked questions
Which tax do I charge in my province?
Use the province preset in the editor. HST provinces (ON, NB, NL, NS, PE) charge a single combined rate; BC, SK and MB add PST or RST to the 5% GST; Quebec adds QST; Alberta and the territories charge GST only. Confirm on the CRA rate table.
Do I have to register for GST/HST?
Not if you are a small supplier, with $30,000 or less in taxable revenue over four consecutive calendar quarters. Above that you must register. See the CRA’s “when to register” page.
What does my GST/HST number look like?
It is your nine-digit Business Number followed by RT and a four-digit account number, for example 123456789 RT0001.
Should I show GST and HST separately?
If HST applies, show the total HST rate and amount. You do not need to break it into federal and provincial portions.
What if my client is in another province?
The rate generally depends on where the supply is made, which for many services is the customer’s province. Rules differ for some goods and services, so read the CRA’s place-of-supply guidance.
Do I need to charge PST or QST?
That depends on the province and on what you sell. They are administered by the provinces and have their own registration requirements. Check with the provincial tax authority.
Can I accept Interac e-Transfer?
Yes, add the email address in the payment details. The default payment box includes an Interac line.
Do invoices need to be in French in Quebec?
Quebec has language rules for businesses that deal with consumers and the public. Check the Office québécois de la langue française and Revenu Québec for what applies to you.
Is a PDF invoice valid in Canada?
Yes. Electronic invoices are fine if they contain the required information and you keep them for the required period.
Does this tool keep my information?
Only in your own browser. Nothing is uploaded to our servers.
