How to turn a timesheet into an invoice
- Set your rate and currency. Enter your hourly rate. Choose whether to round each entry up to 5, 6, 15 or 30 minutes, or not at all.
- Add your work entries. For each entry, add the date, start time, end time, any unpaid break in minutes and a short description.
- Check the totals. The sheet shows the hours and amount for each entry, and the total for the sheet.
- Choose how the invoice lines look. Either one line per entry, or one line with your total hours. Detailed lines build trust, a single line looks tidier.
- Create the invoice. Click “Create invoice”. The lines and currency open in the invoice generator, where you add your details, tax and payment terms.
What a timesheet invoice is
A timesheet invoice bills a customer for time rather than a fixed price. It lists the hours worked, the rate and the total, usually with dates and a short description of what was done. Freelancers, consultants, contractors, tutors, designers, developers and many trades use it. Clients like it when the entries are clear, because they can check them against what they expect.
This page does two jobs: it works as a lightweight timesheet (you can print it or export it as CSV to attach to an invoice), and it works as a bridge to the invoice generator, so you never retype hours.
Rounding rules: what is fair?
Many people round time up to a block, so a call of 7 minutes is billed as 15. The usual block sizes are 5, 6 (a tenth of an hour), 15 or 30 minutes. Rounding is allowed if your client agrees to it in the contract or quote. Without that agreement, bill actual time, or the client could dispute the invoice. Law firms and agencies often use 6-minute increments, and some consultants set a minimum charge per task.
| Actual time | No rounding | Up to 6 min | Up to 15 min | Up to 30 min |
|---|---|---|---|---|
| 7 min | 0.12 h | 0.2 h | 0.25 h | 0.5 h |
| 50 min | 0.83 h | 0.9 h | 1 h | 1 h |
| 3 h 10 min | 3.17 h | 3.2 h | 3.25 h | 3.5 h |
The generator rounds each entry up. If you use a daily total instead, make the entry the whole day.

What to put on an hourly invoice
- Your name or business and contact details, and the client’s.
- A unique invoice number and the invoice date.
- The period covered, for example “1–15 March”.
- The hourly rate and the hours, either per task or in total.
- A short description of the work for each line or day.
- Any tax: VAT, GST or sales tax, with your registration number if required.
- Payment terms, due date and how to pay.
The invoice generator adds tax, discounts and payment details. For your country’s requirements, see the country pages such as UK, Canada and Australia.
Tips for billing hours
- Track as you go. Notes made later are less accurate and clients notice vague entries.
- Write entries a client can read. “Homepage layout revisions” is better than “Work”.
- Agree rounding and minimums in writing.
- Bill often. Invoice weekly or fortnightly to keep amounts small and cash flowing.
- Agree an estimate or cap for large jobs, and warn the client when you are near it.
- Consider other pricing. The hourly rate calculator and day rate calculator help set a rate that covers your costs.
