How to make a tutor / teacher invoice

    1. Pick your country. Use the country selector in the editor to set the currency, date format and tax labels. The sample lines below are only a starting point for tutors and teachers.
    2. Enter your business details. Add your name, address, contact details, tax or registration number and a logo if you have one. Save them as a business profile to reuse next time.
    3. Add the customer. Enter the customer’s name and address, and a PO or job reference if they gave you one. Save the customer for repeat jobs.
    4. Edit the line items. Replace the sample tutor / teacher lines with your own work. Quantity can be hours, days, units or 1 for a fixed fee. Add a tax rate if you are registered.
    5. Add payment details and terms. Choose the payment terms, add bank or payment-link details and your notes. A due date is calculated from the terms.
    6. Choose a look and export. Pick a template and colour, then download the PDF, print it, or save a PNG. Your work is saved in your browser as you type.

Invoicing lessons: parents, students and schools

Tutors often invoice parents rather than students, and parents appreciate a simple record of what they paid for. A good tutoring invoice lists the subject, the dates or the month, the number of lessons and the rate, plus any materials. It also reminds the family about the cancellation policy, which saves awkward conversations later.

The sample uses the Sidebar layout and a purple theme: your details sit in a narrow panel, with the lessons in a wide column. It bills eight one-hour maths lessons for October at 40 and a 15 materials pack.

What to include on a tutoring invoice

    • Student or parent name as the client, and the name of the student if different.
    • Subject and level, for example “GCSE maths” or “piano, Grade 3”.
    • Period or lesson dates, and the lesson length.
    • Rate and number of lessons.
    • Materials, exam fees or travel as separate lines.
    • Cancellation policy in the notes.
    • Payment method and due date, with the invoice number as the reference.

No tax is applied here because many private tuition arrangements are exempt or below thresholds; check your own position.

    Tax notes for tutors

Whether tuition is taxable depends on the country and sometimes on the kind of tutor. In the UK, private tuition by an individual teacher of an academic subject can be VAT-exempt under HMRC rules, but other arrangements may not be, so check the guidance. In Australia, some education services are GST-free. In the United States, tutoring is generally not subject to sales tax, though a few states tax certain services; income is reported as self-employment income. Canadian rules depend on the type of supply, and you only need to register above the small-supplier threshold. Always check official guidance.

    Tutor invoicing mistakes

    • No written cancellation policy.
    • Waiting for payment until the term’s end.
    • Letting a balance run on when a family is unresponsive.
    • Not recording the lesson dates.
    • Mixing family and sibling lessons on one line without a breakdown.

Policies that keep tutoring payments simple

Three short written policies prevent most payment problems in tutoring: how and when you are paid, what happens when a lesson is cancelled, and what happens when a student is absent for a long time. Send them to parents before the first lesson and repeat the key one on every invoice. Keep the language friendly: families value reliability as much as results.

Consider a prepaid block for exam periods, when demand is highest. A block of ten lessons paid up front gives you certainty and the family a small saving. For long-term pupils, a standing order on a fixed day each month removes the need for reminders. Keep a simple lesson log, with the date and a line on what was covered; it makes the invoice self-explanatory and gives parents confidence that they are paying for real progress.

Getting paid faster as a tutor

Invoice at the start of each month for that month’s lessons, or sell prepaid blocks. Include bank details and ask for the invoice number as the reference. State the due date and the late-cancellation rule. If a family stops paying, see what to do when a client does not pay.

    Glossary

    Prepaid block
A bundle of lessons paid for in advance.
    Late cancellation
Cancelling a lesson inside the notice period.

    • Registration thresholds (UK £90,000, Canada $30,000, Australia A$75,000, New Zealand NZ$60,000) change; confirm the current figure with your tax authority.
    • Licence, certificate and payment-claim rules for trades differ by state, province and country. Check your regulator before relying on any note here.

    Can I add exam fees?

Yes. Add them as separate pass-through lines.
