How to make a graphic designer invoice

    1. Pick your country. Use the country selector in the editor to set the currency, date format and tax labels. The sample lines below are only a starting point for graphic designers.
    2. Enter your business details. Add your name, address, contact details, tax or registration number and a logo if you have one. Save them as a business profile to reuse next time.
    3. Add the customer. Enter the customer’s name and address, and a PO or job reference if they gave you one. Save the customer for repeat jobs.
    4. Edit the line items. Replace the sample graphic designer lines with your own work. Quantity can be hours, days, units or 1 for a fixed fee. Add a tax rate if you are registered.
    5. Add payment details and terms. Choose the payment terms, add bank or payment-link details and your notes. A due date is calculated from the terms.
    6. Choose a look and export. Pick a template and colour, then download the PDF, print it, or save a PNG. Your work is saved in your browser as you type.

    Invoicing creative work clearly

Clients often judge design on taste, but they pay on paper. If an invoice is vague about how many concepts and revisions are included, extra rounds turn into awkward conversations. A designer’s invoice has two jobs: be a clear request for payment, and be a quiet reminder of the boundaries of the project, such as how many rounds were included and when the rights transfer.

The sample uses the Bold layout and a rose colour theme, which suit a creative studio. You can swap in any of the 15 templates and colours in the Design panel, or set your brand colour with the custom picker.

What to include on a design invoice

    • Project name and brief reference, so the client’s finance team can match the invoice to a job.
    • Deliverables: logo suite, colour system, templates, guidelines, file formats.
    • Included concepts and rounds of revisions, and the price of extra rounds.
    • Third-party costs: stock photography, font licences, printing and proofs.
    • Rights: when copyright transfers, and what you may show in your portfolio.
    • Deposit received and balance due.

Brand identity design – logo and colour system1$1,800.00$1,800.00
    Brand guidelines document1$450.00$450.00

    Subtotal$2,400.00
    Tax at an illustrative 10%$240.00
    Total$2,640.00

Figures are examples only. Currency, tax rate and labels change in the editor to suit your country.

The extra revision round is listed separately so it is clear it was outside the original package.

    Tax and copyright notes

Design services are taxable under VAT and GST systems once you register. Selling to businesses in other countries may be outside the scope of local VAT or reverse-charged; see the country pages. In the US, designers usually report income on Schedule C and clients may require a W-9. Copyright rules differ by country: in some places, commissioned works belong to the commissioner by default under certain conditions, and in others the creator keeps the copyright unless assigned in writing. Write your assignment or licence terms clearly in the contract, and check with a lawyer for large engagements.

    Design invoicing mistakes

    • Releasing final files before payment.
    • Offering “unlimited revisions” and then having no way to bill extra.
    • Forgetting to pass on stock or font licence costs.
    • Not saying what happens if the client cancels midway. A kill fee solves that.
    • Not requesting a deposit for new clients.

    Protecting scope without sounding difficult

Most design disputes are about scope rather than money. A short paragraph on the quote, repeated in your invoice notes, does most of the work: how many concepts, how many rounds, what counts as a round, and what an extra round costs. Define a round as one consolidated set of feedback from a single point of contact. Feedback sent piecemeal by five people over two weeks is five rounds, not one, and it helps to say so politely at the start.

It also helps to separate design from production. A logo is design; resizing it for twelve social channels, preparing print-ready files or building a template library is production, and clients are usually happy to pay for it when it is a visible line item. Finally, state what happens to unused work: concepts that were not chosen normally remain yours, which lets you reuse them for other clients.

Getting paid faster as a designer

Take a deposit to start, bill the balance when the final concepts are approved, and release the production files once paid. Share a PDF invoice and a payment link together. Read deposits and milestone billing, then send a calm reminder the day after the due date.

    Glossary

    Kill fee
A fee charged if a project is cancelled after work has begun.
    Revision round
One set of consolidated client feedback and the designer’s changes.
    Licence
Permission to use work under defined conditions without transferring ownership.
Check official guidance. We could not fully confirm these points against an official page when we last reviewed, so please verify them before relying on them:
    • Registration thresholds (UK £90,000, Canada $30,000, Australia A$75,000, New Zealand NZ$60,000) change; confirm the current figure with your tax authority.
    • Licence, certificate and payment-claim rules for trades differ by state, province and country. Check your regulator before relying on any note here.

    Frequently asked questions

How many revisions should I include?

Many designers include two or three rounds and price extra rounds per round or per hour. State this in the quote.

Should I charge for copyright transfer?

Often, yes. A full transfer is worth more than a licence. State it in the contract and on the invoice.

How do I bill stock images?

Add a line for the cost, at cost or with a handling fee if your contract allows it.

Can I put a deposit on the invoice?

Yes. Use “amount paid” on the final invoice to show the balance.

    What if a client cancels?

Include a cancellation or kill-fee clause in your terms and invoice for the work done.

    Can I add my logo?

Yes, upload it in the business section. Use a PNG with a transparent background for best results.

    Which template suits designers?

Bold, Gradient and Minimal are popular. You can preview them in the template gallery.

Can I show a licence term?

Yes. Add a line item or write the term in the notes.
