How to make a photographer invoice

    1. Pick your country. Use the country selector in the editor to set the currency, date format and tax labels. The sample lines below are only a starting point for photographers.
    2. Enter your business details. Add your name, address, contact details, tax or registration number and a logo if you have one. Save them as a business profile to reuse next time.
    3. Add the customer. Enter the customer’s name and address, and a PO or job reference if they gave you one. Save the customer for repeat jobs.
    4. Edit the line items. Replace the sample photographer lines with your own work. Quantity can be hours, days, units or 1 for a fixed fee. Add a tax rate if you are registered.
    5. Add payment details and terms. Choose the payment terms, add bank or payment-link details and your notes. A due date is calculated from the terms.
    6. Choose a look and export. Pick a template and colour, then download the PDF, print it, or save a PNG. Your work is saved in your browser as you type.

What makes a photography invoice different

A photographer sells three things that look similar to clients but are quite different on paper: time (the shoot), work (editing and retouching) and rights (the licence to use the images). A good invoice separates these. It protects you, because clients can see exactly what they are paying for, and it protects them, because the licence terms are written next to the price.

The sample uses the Elegant layout, with a centred serif title and thin rules that suit a visual profession. If you prefer a bolder look, try Bold or Gradient from the Design panel.

What to include on a photography invoice

    • Shoot description: date, location, duration and number of photographers.
    • Deliverables: number of edited images, format, resolution and delivery method.
    • Editing and retouching as a per-image or per-hour line.
    • Usage licence: medium, territory and duration, for example “web and social, worldwide, 12 months”.
    • Copyright statement: a short note that copyright stays with you unless transferred in writing.
    • Booking deposit already received, and the balance due.
    • Expenses: travel, studio hire, props, assistants.

    How photographers price and bill

Type of jobCommon structureOn the invoice
Wedding or eventPackage price with a depositPackage line, deposit as paid, balance due before delivery
Portrait sessionSession fee plus printsSession line; prints as a separate product line
Commercial shootDay or half-day rate plus licenceShoot, editing and licence as three lines
Stock or editorialPer-image licenceLicence per image with usage terms

Commercial photographers often price the licence separately from the shoot, since the value of an image depends on how widely it will be used. Charging for the licence in a clearly labelled line also lets you sell an extension later for another period or medium.

    Example photography invoice

    DescriptionQtyRateAmount
    Half-day photo shoot (4 hours)1$650.00$650.00
Image editing and retouching (per final image)25$12.00$300.00
Commercial usage licence – web and social, 12 months1$300.00$300.00
    Subtotal$1,250.00
    Tax at an illustrative 10%$125.00
    Total$1,375.00

Figures are examples only. Currency, tax rate and labels change in the editor to suit your country.

If the client paid a deposit when booking, enter it in the “amount paid” field and the balance due updates.

    Tax and rights by country

In most countries photography services are taxable once you are above the registration threshold. Digital delivery to consumers in other countries can have special VAT rules, particularly in the EU, so check the official guidance. In the United States, photographers working as sole proprietors report income on Schedule C and some states charge sales tax on photography services or on physical prints; check your state. In the UK, VAT applies above £90,000 of turnover. Canada’s small supplier threshold is $30,000. In Australia the GST threshold is A$75,000.

Rights are governed by copyright law, which differs between countries. Write your licence terms in plain words, and for significant commissions get legal advice.

    Photography invoicing mistakes

    • Delivering final images before the balance is paid.
    • Not stating the usage licence, which leaves room for an argument later.
    • Bundling editing in the shoot price without defining how many edited images are included.
    • Forgetting to charge for travel, second shooters or studio hire.
    • Not requesting a deposit to hold the date.

Getting paid faster as a photographer

Take a non-refundable booking deposit and invoice the balance before delivering the gallery. Send the invoice with the proof gallery, not weeks later. For commercial work, ask for a purchase order. See deposits and milestone billing and our quote generator to set expectations before the shoot.

    Frequently asked questions

Should I charge for the licence separately?

For commercial work, yes. It makes the usage terms explicit and lets you sell extensions.

How do I show a deposit?

Enter it as “amount paid”. The invoice shows the total, the deposit and the balance due.

Do wedding photographers charge sales tax?

It depends on your location, turnover and local rules. Check official guidance for your state or country.

What licence wording should I use?

State the medium, territory and duration. For important work ask a lawyer to review your standard terms.

Can I put prints on the same invoice?

Yes. Add a product line per print with quantity and unit price. Some places tax physical goods differently from services.

How many edited images should I promise?

State a number or a range in the description, and a price for additional images.

Can I use this for a receipt after payment?

Use the receipt generator for a payment you have actually received.

    Is my client list private?

Yes. Saved clients stay in your browser.
