How to make a landscaper / gardener invoice
- Pick your country. Use the country selector in the editor to set the currency, date format and tax labels. The sample lines below are only a starting point for landscapers and gardeners.
- Enter your business details. Add your name, address, contact details, tax or registration number and a logo if you have one. Save them as a business profile to reuse next time.
- Add the customer. Enter the customer’s name and address, and a PO or job reference if they gave you one. Save the customer for repeat jobs.
- Edit the line items. Replace the sample landscaper / gardener lines with your own work. Quantity can be hours, days, units or 1 for a fixed fee. Add a tax rate if you are registered.
- Add payment details and terms. Choose the payment terms, add bank or payment-link details and your notes. A due date is calculated from the terms.
- Choose a look and export. Pick a template and colour, then download the PDF, print it, or save a PNG. Your work is saved in your browser as you type.
Invoicing outdoor work: seasons, materials and weather
Landscaping work has an unusual rhythm. Maintenance is regular but seasonal, materials are bulky and priced by the cubic metre or tonne, and weather can delay a job by a week. These facts shape the invoice. It helps to bill maintenance visits on a predictable cycle, to price materials by the unit you actually buy them in, and to state clearly how weather delays are handled.
The sample uses the Stripe layout with a forest-green theme. It has three lines: three maintenance visits, two cubic metres of delivered mulch and a disposal fee for green waste.
What to include on a landscaping invoice
- Site address and the dates or period covered.
- Maintenance: tasks included, such as mowing, edging, hedge trimming, and the price per visit.
- Materials: quantity and unit, such as m³, tonnes, bags or pallets, plus delivery.
- Plants and trees, with quantity and, if guaranteed, the guarantee period.
- Plant hire and disposal, including tip fees.
- Quote validity and terms such as weather delays.
- Licence or registration numbers where required, such as a waste-carrier registration.
Landscaping pricing models
| Work | Pricing | On the invoice |
|---|---|---|
| Lawn and garden maintenance | Per visit, monthly or seasonal | Visits × price or a monthly line |
| Design and build | Quoted stages | Deposit, materials stage, completion |
| Planting | Per plant plus labour | Plants and labour on separate lines |
| Hard landscaping | Per square metre plus materials | Area × rate, materials separate |
| Tree and hedge work | Fixed or hourly | Labour, disposal, equipment |
Example landscaping invoice
| Description | Qty | Rate | Amount |
|---|---|---|---|
| Garden maintenance – mowing, edging, hedge trim | 3 | $55.00 | $165.00 |
| Bark mulch (cubic metres, delivered) | 2 | $62.00 | $124.00 |
| Green waste removal | 1 | $40.00 | $40.00 |
| Subtotal | $329.00 | ||
| Tax at an illustrative 10% | $32.90 | ||
| Total | $361.90 | ||
Figures are examples only. Currency, tax rate and labels change in the editor to suit your country.
Unit descriptions such as “cubic metres” make the quantity unambiguous.
Tax, waste and licence notes
Landscaping services follow ordinary VAT, GST/HST and sales tax rules once you are registered. In the United States some states charge sales tax on landscaping services or on materials, and rules vary widely. In the UK, anyone who carries waste for other people may need to register as a waste carrier with the environment agency in their nation. Pesticide and tree-surgery work may need specific qualifications or licences in many places. These requirements vary, so check your regulator and put your registration numbers on your invoice if required.
Landscaping invoicing mistakes
- Pricing materials at last year’s cost.
- Leaving out disposal and tip fees.
- No deposit for expensive plants or materials ordered specially.
- Failing to state a plant guarantee, or what voids it, such as lack of watering.
- Giving open-ended seasonal prices without a review date.
Quoting outdoor work and keeping the invoice in line
Outdoor quotes go wrong when measurements are guessed. Measure beds and lawns, note access (can a skip or a delivery lorry reach the garden?) and write down assumptions such as “existing soil is workable and free of rubble”. If the ground turns out to be different, a variation is easy to justify because the assumption was written down.
Materials fluctuate in price during the year, which is why quotes should be valid for a short period, often 30 days. When the invoice arrives, it should mirror the quote: the same headings, the same units, and an explanation for any differences. Photographs before and after help with disputes and make a good record for plant guarantees. For seasonal customers, send a short plan of what will be done each month; it reminds them what their money buys and makes renewals simpler.
Getting paid faster as a landscaper
Invoice maintenance on the last day of each month and ask repeat customers to pay by direct debit. For larger projects take a deposit for materials and bill stages as they complete. Add a clear due date to the invoice and send a short reminder. See milestone billing and how to get paid faster.

Frequently asked questions
How do I bill materials by volume?
Use the quantity field for the number of cubic metres, tonnes or bags and the rate for the unit price.
Should I charge for waste removal?
Yes, if you pay disposal fees or spend time on it. Show it as its own line.
How do I handle a seasonal contract?
Agree a monthly fee for the season, bill monthly, and state the start and end dates in the terms.
What if weather delays the job?
Write a weather clause in the quote. Customers rarely mind delays when they have been warned.
Do I need a plant guarantee?
Offering one can win work. State the period and the conditions.
Can I add a deposit?
Yes. Enter it as amount paid to show the balance.
Does sales tax apply to landscaping?
It depends on the state or country. Check official guidance.
Can I reuse a client’s details?
Yes. Save them as a client in the editor.
